Welcome to Virtual Golf Systems. We are dedicated to delivering premium, commercial-grade indoor golf simulators, launch monitors, and studio enclosure components safely to your home or commercial venue.

Because we operate an integrated direct-fulfillment supply network alongside top golf industry manufacturers and retail partners, please review our logistics guidelines below to understand how your order will be delivered.

1. Standard Shipping & UK Mainland Delivery

  • Free Delivery: Most of our products are delivered free of charge to standard UK mainland addresses.
  • Remote Locations: Deliveries to Northern Ireland, the Scottish Highlands, or offshore islands may incur an additional delivery surcharge. If an extra charge applies to your location, it will be calculated at checkout or we will contact you directly before processing the order.
  • Pre-order Quotes: If you require a custom shipping or postage quote before finalizing an order, you can contact our team to arrange this.

2. Direct Partner Fulfillment & Split Shipments
To ensure you receive your equipment as fast as possible, some or all of the items in your order may be dispatched directly from our respective manufacturing or distribution partners.

If your order contains multiple distinct components (for example, a tracking launch monitor paired with a heavy structural steel frame), these items may be handled by different courier networks and arrive as separate deliveries on different days. You will receive individual tracking information for each separate package as soon as it becomes available.

3. Estimated Dispatch & Delivery Timeframes

  • In-Stock Items: We aim to dispatch in-stock goods from our partner facilities within 2 working days.
  • Out-of-Stock or Custom Items: If an item is temporarily out of stock or custom-built to your room specs, we will contact you via telephone or email with an estimated delivery timeframe.
  • Delivery Methods: Standard items are sent via First Class post or specialized parcel couriers (e.g., DPD, DHL). Heavy or high-value items are managed by freight carriers.

Note: All delivery timeframes are estimates. Virtual Golf Systems is not legally or financially liable for external courier, manufacturer, or port delays.

4. Heavy Pallet Deliveries & Vehicle Access Requirements
Many of our complete golf simulator rigs and steel enclosures are delivered on large, heavy pallets.

  • Pallet Delivery Rule: Pallet deliveries are “kerbside only.” This means the driver will unload the pallet using a tail-lift to the nearest flat, accessible hardstanding ground outside your property. Drivers are not insured to move heavy freight inside your house or garage.
  • Property Access: It is your sole responsibility to ensure that a large delivery vehicle (such as a 7.5-tonne or 18-tonne lorry) can safely access your address. Restricted bridge weight limits, narrow country lanes, or gravel drives that block access may result in a failed delivery.
  • Failed Deliveries: If a delivery fails because of restricted property access or because an adult was not present to sign for the freight, you will be liable for the carrier’s re-delivery charge.

5. Signatures and Delivery Inspection
For high-value electronics, launch monitors, and tracking hardware, an adult must be present to sign for and receive the goods.

Before signing the courier’s delivery note, please check the exterior packaging for any signs of transit damage. If the packaging looks torn or crushed, please sign for the delivery as “Damaged” and notify us at info@virtualgolfsystems.co.uk within 24 hours with photos so we can handle it with the carrier.
